Departmental Assistant
DEPARTMENT: Corporate Human Resources
UNIT: Compensation & Benefits
ROLE:
Assist and support Director for Group Compensation and Corporate Human Resources Services in daily functions.
Support in achieving his objectives while achieving quality time.
Coordinate Group Compensation and CHR Services resources and support team members in their functions
Centralize key information and communicate to team.
- Maintain and updated agenda.
- Perform logistics for meetings and events.
- Organize and structure Travel itineraries and handle travel expenses.
- Attend, screen and manage internal/external telephone calls, correspondence and requests, especially critical issues and direct to the appropriate person
- Set priorities; ensure follow up on matters delegated to other individuals
- Manage effectively Directors files and documentation as well as correspondence, confidential and personnel issues.
- Update internal databases.
- Devising and maintaining office systems.
- General office administrative duties;
Ordering and maintaining stationary and equipment supplies.
Organizing and storing paperwork, documents, and computer-based information.
REPONSIBILITIES:
PERSONAL ASSISTANCE TO DIRECTOR
 Diary Management: Keep control of Directors agenda, screen e-mails, prioritizing meetings, conference calls and trips ensuring that corresponding documents are provided and coordinate logistics
 Support on Time Mgmt: Keep Director informed of all ongoing departmental issues, and follow up on pending issues, prioritize and channel calls & correspondence, proof read and edit documentation, ensure documents needing signature sign-off are complete
 Trip coordination & remote support: Effective trip planning to maximize travel arrangements and time management, provide remote support by summarizing e-mails and prioritizing issues taking on secondary responsibilities
TEAM COORDINATION & HR COUNCIL ASSISTANCE
 Team Coordination: Free team of general administrative burden, improve fulfilment of reporting deadlines and support overall
 Meeting Logistics: Organise HR Council meetings & other events throughout the year and documentation follow up; prepare and coordinate meetings, team meetings and set-up conference calls on a regular basis and prepare minutes when needed.
